What a certified copy is
Every deed registered in Tamil Nadu is copied into the register of the sub-registrar office that registered it. A certified copy is a print of that register entry, attested by the office as a true copy of the document. It carries the parties, the schedule of property with its survey numbers, extent and boundaries, the consideration, the stamp duty paid and the registration endorsement with the document number and date. Any registered document can be copied this way: sale deed, gift deed, settlement deed, partition deed, release deed, mortgage deed, power of attorney, lease.
When you need one
- Before buying: the seller shows you a deed; the certified copy is what the register actually says, so the two can be compared before any advance is paid
- Lost or damaged original: the certified copy stands in for it with banks, courts and revenue offices
- Bank loan: lenders ask for certified copies of the title deeds in the chain
- Patta transfer: the taluk office wants the registered deed with the application
- Old title chain: parent documents named in the EC that nobody in the family still holds
- Court and disputes: the register copy is the evidence of what was registered
What you need to order it
Three things, all printed on the deed and all shown on the encumbrance certificate for the property:

- The registration year, for example 2020; the number and year are usually written together as 4959/2020
How to get it online
- On the registration department's portal: register an account, apply for the certified copy of the document with the SRO, number and year, and pay the fee. The office issues the copy through the portal; some offices issue at once, others in batches.

Reading a certified copy
- Registration endorsement: the document number, book, volume and page, the date of registration and the office; this is what proves the deed was registered
- Parties: executant (seller, donor, settlor) and claimant (buyer, donee), with their fathers' or husbands' names; compare the spellings with the patta and the EC
- Schedule of property: village, survey number and sub-division, extent and the four boundaries; compare with the patta and the FMB sketch
- Consideration and stamp: the price stated and the duty paid on it
- Signatures and witnesses: the executant's signature and two witnesses on every registered deed
Certified copy, EC and patta: three different records
The encumbrance certificate lists the transactions registered on a property; the certified copy is the full text of one of them; the patta is the revenue department's record of who holds the land. A buyer reads all three: the EC to find every deed in the chain, the certified copies to read what each deed says, and the patta to see that the register has caught up with the last deed.
