What the process covers

The Registration Department Application provides an online process for requesting corrections to index data associated with registered documents. The facility is available for both migrated documents and documents registered in the system.

A portal user may:

  • Search for a registered document.
  • Add a new party or property entry.
  • Modify existing party or property data.
  • Create and download a correction petition form, also described as an ICP form.
  • Track processing and view rejection remarks.

How to submit a correction request

The Registration Department citizen portal requires the citizen to log in using their user credentials. The correction facility is available under Document Registration > Index Data Correction > Initiate.

The submission process is:

  • Select the required Sub Registrar Office, book number, document number and year from the available lists.
  • Select Search. A matching document is displayed in a results grid. If no document is available, the portal displays a no records found alert.
  • Select Proceed for correction for the relevant document.
  • Review the party and property details shown in separate tabs.
  • Add new party or property information, or modify existing information.
  • Enter petitioner details and select Create Petition.
  • Note the generated petition request number and review the table of proposed corrections.
  • Generate the petition form or ICP form containing the correction, document and request details.

The document creation validation also applies during correction. The consideration value cannot be changed to an amount greater than the market value.

Tracking and decision stages

The Registration Department citizen portal allows tracking through Document Registration > Index Data Correction > Search. Requests can be filtered by date range, document or request number, and the petition form can be downloaded from the selected request.

Available statuses are:

  • Submitted, the citizen has created the petition.
  • Under Processing, the request has been pulled by JA for verification.
  • SR Approved, the request has been approved by SR.
  • Approved, DR has approved it and processing is complete.
  • Rejected, SR or DR has rejected it.

Rejected requests include a View link for the rejection remarks. Portal status is updated when action is taken in the Back Office. After DR approval, the corrections are reflected in the document encumbrance certificate and all other applicable places.
